Create an activity and its sessions

Creating an activity in three steps (details, dates, publish), the kinds of sessions, and weekly classes sold by term.

Create in three steps

A new activity is set up in one flow, with a progress bar: 1 Details → 2 Dates → 3 Publish. No need to go back into the activity.

  1. Details: in the menu, "Activities" → "New activity". Pick the type (single session, course, event, weekly class, trial lesson or private lesson), fill in the title, description, photos (up to 6) or a YouTube / Vimeo link, location, audience, and under price and seats the price, seats, installments and sibling discount. Creating it saves a draft and goes straight on to the dates.
  2. Dates: add sessions for the type (below). The ones added so far are listed. A private lesson shows links to the instructors' availability instead. Then "Continue".
  3. Publish: what is still missing (a price, an upcoming session, and for a weekly class its term end), each with a link to fix it, and the publish button.

While an activity is unpublished, its edit page shows the same progress bar with a link to continue the setup.

You can also add instructors, extra registration fields (a wetsuit size, say), a health declaration and an activity cancellation policy. Without one, the business policy applies.

Sessions

  • Single session, event and trial: add one date at a time.
  • Course: create a series: a start date, weekly times and the number of sessions (up to 104). The number is the total across all the times, in date order: 8 sessions on Tuesdays and Fridays are 4 Tuesdays and 4 Fridays. Registration covers all its upcoming sessions.
  • Weekly class: a weekly repeat with weekly times and "Term ends on". Sessions are created up to the term end.

Several times a week

  • Each time has its own day, start time and duration: say Tuesday at 17:00 (90 minutes) and Friday at 11:00 (60 minutes).
  • "Add a time" adds a row (up to 7), "Remove" takes one away. The same day can come twice at different times, but not the same day at the same time.
  • The site shows every time, e.g. "Weekly class · Tuesday 17:00, Friday 11:00 · until 31.08.2026", and so does the registration confirmation email.
  • A registration for the class covers the sessions of all the times, and pro-rating counts the sessions of all the times.

Weekly classes by term

  • The class's price is for the whole term. A registration covers every remaining session until the term end, with no date to pick.
  • "Pro-rate for late joiners" (on by default): someone who joins after the term started pays price × remaining sessions ÷ all the term's sessions, rounded to a whole unit. Installments, the sibling discount and coupons apply as usual.
  • If any session of the term is full, the class is full.
  • The term end is required to publish. A weekly class is always registered for as a whole term: an older class without a term end stays on the site with "Registration opens soon" instead of the register button. Its edit page and the admin home ("weekly classes without a term end") show a reminder with a link to the field, and registration opens as soon as the date is set.

Each session can be edited on its own (time, place, instructor, seats). A change of time, place or instructor sends a calendar update to participants. Changing the weekly times replaces only future sessions that were never edited and have no registrations.

Publish

Publishing needs a price and an upcoming session, and for a weekly class its term end. For a free activity, enter 0 explicitly. You can hide an activity from the site at any time.
